Registration cancellation policy ↓
Cancellation policy is strictly followed and all cancellations must be made in writing.
Cancellation before 120 days of the conference start date will receive a full refund, less a $150 towards administrative fee.
Cancellation between 119 to 90 days prior to the conference start date will receive 50 % refund.
Cancellations received below 89 days of the conference start date are non-refundable.
Refunds will be made within 60 days of receipt of cancellation notification.
Accommodation cancellation policy ↓
Please be advised that any accommodation cancellation requests received within 30 days prior to the conference start date are deemed non-refundable, as the bookings were made as a group reservation and 100% of the payment has already been paid to the hotel.
Cancellation policy in the events of natural disasters or unpredictable activity ↓
Organizer is not responsible for any loss or damage as a result of substitution, alteration, postponement, or cancellation of an event due to causes beyond its control including without limitation, force majeure, natural disasters, organic pathogens, sabotage, accident, trade or industrial disputes, terrorism, or hostilities.
The organizer reserve the right to cancel or postpone the conference in case of any natural disasters, organic pathogens, calamities or terrorism activity. In this case, organizer cannot accept refund requests from the conference delegates, speakers or attendees that result from cancelled flights and or natural disasters, organic pathogens, calamities, terrorism activity. The organizer will provide opportunity for the registered delegates and attendees to transfer their registration fee and accommodation charges to any future or related conferences.
The organizer will not accept any liability for personal injuries or for loss or damage to property belonging to the delegates, either during, or as a result of the conference.
Important Notice on Refund Policy: Force Majeure, War, and Armed Conflict
The Organizers shall not be held liable or responsible, nor considered in default of any obligations, for any failure or delay in the performance of the Conference or related services, if such failure or delay is caused by, results from, or arises out of, directly or indirectly, any event or circumstance beyond the reasonable control of the Organizers (a "Force Majeure Event").
Force Majeure Events include, but are not limited to:
- Acts of God, such as natural disasters, earthquakes, floods, hurricanes, fires, or other extreme weather conditions
- War, invasion, hostilities (declared or undeclared), acts of foreign enemies, terrorism, sabotage, civil war, rebellion, insurrection, or military or usurped power
- Government actions including orders, sanctions, embargoes, restrictions, regulations, or travel bans
- Epidemics, pandemics, outbreaks of communicable diseases, public health emergencies, or quarantine restrictions
- Strikes, lockouts, labor disputes, or other industrial disturbances
- Failure or disruption of utilities, transportation systems, or critical infrastructure
- Any other cause or event beyond the reasonable control of the Organizers
Specific Clause - Armed Conflict Between NATO/Italy and the Russian Federation
In the specific event that NATO and/or the Republic of Italy becomes directly engaged in armed
conflict with the Russian Federation, the Organizers shall not be liable to refund any
registration fees, accommodation costs, or other payments made by delegates.
Under such circumstances:
- All payments received shall remain non-refundable, as full contractual obligations will have already been met with the designated hotels and service providers.
- The Conference shall be considered postponed, and new dates will be announced once the conflict has ceased and conditions permit the safe and practical convening of the event.
Effect of Force Majeure
If a Force Majeure Event prevents, hinders, or delays the holding of the Conference, the Organizers reserve the right, at their sole discretion, to:
- 1. Postpone the Conference to a later date, to be announced once circumstances reasonably allow; or
- 2. Convert the Conference to a virtual or hybrid format
Delegates acknowledge and agree that in the event of a Force Majeure Event, all registration fees, accommodation payments, and other related costs are non-refundable. The sole remedy available to delegates shall be participation in the rescheduled or reformatted version of the Conference.
